1. STUDIO HIRE TIME & VACATING THE PREMISES

1.1 Full Day Studio Hire (8 Hours: 9:00 AM - 5:00 PM)

·       Your full day booking runs from 9:00 AM to 5:00 PM sharp.

·       You must vacate the studio by 5:00 PM with all equipment packed and removed.

·       The studio frequently hosts evening events, workshops, and late-night studio hire sessions. Prompt vacating ensures we can prepare the space for the next booking.

·       Failure to vacate by 5:00 PM may result in additional charges or impact future bookings.

1.2 Half Day Studio Hire (4 Hours: 9:00 AM - 1:00 PM OR 1:00 PM - 5:00 PM)

·       Your half-day booking is either:

o   Morning session: 9:00 AM - 1:00 PM, OR

o   Afternoon session: 1:00 PM - 5:00 PM

·       You must vacate the studio by your designated end time (1:00 PM for morning sessions, 5:00 PM for afternoon sessions).

·       All equipment must be packed, and the studio cleared by your end time to allow preparation for the next booking.

·       Failure to vacate by your designated end time may result in additional charges or impact future bookings.

1.3 Hourly Studio Hire (1 Hour)

·       Your hourly booking ends at the exact time stated on your booking confirmation.

·       You must vacate the studio by your end time with all equipment packed and removed.

·       The studio operates on a tight schedule with back-to-back hourly bookings. Prompt vacating ensures fairness to all clients.

·       Failure to vacate by your designated end time may result in additional charges or impact future bookings.

1.4 General Timing Rules (All Hire Types)

Early Arrival:

·       You may arrive up to 5 minutes before your booking start time if the studio is available.

·       You cannot access the studio earlier than 5 minutes before your start time without prior arrangement.

Late Arrival:

·       If you arrive late, your booking end time remains the same (we cannot extend your session).

·       No refunds are given for time lost due to late arrival.

Overrunning Your Time:

·       If you overrun your booking time without prior arrangement, you will be charged an additional fee of £50 per 30 minutes (or part thereof).

·       Overrunning disrupts other bookings and may not always be possible due to scheduled sessions.

·       If you require additional time, please contact us in advance to check availability and arrange payment.

Equipment & Tidying:

·       You are responsible for packing all personal equipment before your end time.

·       Please leave the studio as you found it (lighting equipment switched off, furniture returned to original positions, rubbish removed).

·       Failure to leave the studio in a reasonable condition may result in a £25 cleaning/reset fee.

1.5 Studio Access

·       Access to the studio will be provided at your booking start time.

·       You will receive access instructions via email prior to your session.

·       You are responsible for securing the studio when you leave.

·       Do not share access codes or allow unauthorised persons into the studio.

1.6 Respect for Other Bookings

·       The S.P.A.C.E operates a busy schedule with multiple bookings daily.

·       Vacating on time ensures fairness to all clients and allows us to maintain our service standards.

·       We appreciate your cooperation in respecting other creatives' booked time.

By booking studio hire at The S.P.A.C.E, you agree to these timing and vacating terms.

2. PAYMENT & DEPOSIT TERMS

2.1 Deposit Requirements

A non-refundable deposit is required to secure your studio hire booking:

  • Full Day Studio Hire: £100 deposit

  • Half Day Studio Hire: £65 deposit

  • Hourly Studio Hire: £30 deposit

The deposit must be paid at the time of booking to confirm your session.

2.2 Remaining Balance

Full Day, Half Day & Hourly Bookings:

The remaining balance is due before or on the day of your session.

You will receive a reminder email prior to your booking containing a secure payment link to pay the remaining balance.

Alternatively, you may pay the full amount upfront at the time of booking (avoiding a split payment).

2.3 Cancellation & Refund Policy

Option A: 48 Hours or More Notice

If you cancel your booking 48 hours or more before your scheduled session:

✅ Full deposit refund

Option B: Less Than 48 Hours' Notice

If you cancel your booking less than 48 hours before your scheduled session:

❌ Your deposit is non-refundable

This policy exists because late cancellations prevent us from re-booking the studio time and result in lost revenue.

2.4 Rescheduling Your Booking

If you need to change your booking date:

  • 48 hours or more notice: You may reschedule at no additional charge. Your deposit transfers to the new date.

  • Less than 48 hours notice: Rescheduling is not permitted. Any attempt to cancel within this period will be treated as a cancellation and your deposit is non-refundable.

2.5 No-Shows

If you do not arrive for your booked session and do not notify us:

❌ Your deposit is forfeited
❌ The full session fee remains payable
❌ No refund or credit will be given

2.6 Cancellations by The S.P.A.C.E

In the unlikely event that we must cancel your booking (due to unforeseen circumstances, equipment failure, building issues, etc.):

✅ Full refund of all payments made, OR
✅ Reschedule to an alternative date at no additional cost

We are not liable for any consequential losses arising from cancellations beyond the refund of payments made.

2.7 Acceptance of Terms

By completing the intake form and ticking the boxes:

☑ "I confirm that I have read and agree to the Privacy Policy"
☑ "I confirm that I have read and agree to the Studio Hire Terms & Conditions"

You confirm that you have read, understood, and agree to abide by these Terms & Conditions.

  • Payment of the deposit constitutes acceptance of these terms.

  • These terms form a binding agreement between you and The S.P.A.C.E.

  • Failure to comply with these terms may result in denial of access to the studio or forfeiture of payments.

2.8 Pricing & Fees

Current Studio Hire Rates:

Full Day (8 hours): £400

Half Day (4 hours): £250

Hourly Hire: £75 per hour

All prices are inclusive of VAT.

Additional Charges:

Late vacating fee: £50 per 30 minutes (or part thereof)

Cleaning/reset fee (if studio left in poor condition): £25

Damage or breakage: Cost of repair/replacement

By booking studio hire at The S.P.A.C.E, you agree to these payment and deposit terms.
